What makes the perfect function? Amenities to consider before booking a venue

Hosting a memorable function starts with planning, and deciding on the venue itself is one of the most important choices you’ll make during this process.

Aside from how the venue looks, you’ll need to consider what the venue offers. Is it a one-stop-shop for all your event planning needs or will you have to do some outsourcing on your own? Here’s some of the services you should be asking about when choosing a function venue:

1. Facilities
Certain types of functions will require a certain type of space, so start by asking yourself what type of function it is that you plan on holding. You need to make sure your venue is the right size for your function and should be proportioned to the number of guests attending.

How many people you’ll be inviting should factor into your final decision because you will want to be able to accommodate your expected guest list and ensure that the function venue is suitable for your audience. This will help give your event a lively atmosphere and make sure your guests can move around for ice-breaker and social activities and aren’t cramped in a small space.

Some other facilities to consider when choosing a venue include:

Does the venue have onsite parking for you and your guests? At HBF Stadium, there are 1,100 parking spaces including disabled and motorbike bays. Bicycle racks are also located onsite by the entrance to make sure your bike is secure while you’re inside.

Public transport
For those who’d prefer to take alternate methods of transport to the event, is public transport easily accessible to the venue? At HBF Stadium, public transport services via bus number 28, running to and from the closest trainstation. The bus stop is located within the HBF Stadium car park and ordering an Uber is also super easy with a designated pick-up spot within the grounds.

Extra space
You want your guests to feel comfortable during your event. So does the venue have a cloak room, breakout room etc. if you require it? There are a range of rooms for use at HBF Stadium. There’s every chance that we can accommodate your request – so please let us know when booking.

2. Equipment & event essentials
When deciding on the perfect venue, you’ll also need to make a list of your different equipment needs and event essentials. This will vary depending on the type of function you plan on holding. Is it a sit down or stand up function? Will you be serving a seated dinner or will there be standing canapes and drinks?

Some of the equipment and event essentials you might need to add to your checklist includes:

• Tables and chairs
• Dishes and silverware
• Tablecloths
• Decorations
• Visual or audio equipment
• Electrical supplies
• Lighting

Once you have compiled a list of the equipment you’ll require, you’ll be able to see what your venue has, what they don’t have and if there are any needs they won’t be able to accommodate. At HBF Stadium, there’s no limit to the theming, decoration and entertainment possible.

We don’t supply theming services, however we work with preferred suppliers or clients can provide their own. Popular themes can be accommodated easily as our suppliers have a fantastic range of stock, so if you’re after a unique conceptual event, our state-of-the-art audio visual and styling equipment can help.

3. Food & beverage
Food and drink can make or break a function. Functions are all about hospitality and a shared meal leads to shared conversation, shared ideas and shared connections. So it shouldn’t be treated like an afterthought, but rather one of the most crucial considerations. Some important questions to ask before hiring a venue are:

1. Does the venue have an onsite kitchen that can provide catering services for your event?
2. Does the venue have a liquor license to serve alcoholic beverages?
3. Does the venue provide a wide range of options to cater to certain types of events, i.e. a sit down dinner or a standing cocktail party?
